Invoices and quotes
Send professional invoices and quotes, get paid directly, and follow up what is owed.
How it works
You write an invoice or quote, send it, and your customer gets a private link and a PDF. They pay you directly by bank transfer or your payment link: Business Floor never holds the money. When they've paid, you mark it paid.
Find it on your Dashboard under Invoices.
1. Set up once
Choose Settings on the Invoices page. Owners and admins can change these.
- How customers pay you: your bank details and, if you have one, a payment link (Yoco, SnapScan, PayFast…). They're printed on every invoice.
- VAT: if you're VAT-registered, tick We're registered for VAT and add your VAT number. Invoices then become Tax invoices showing the VAT, as SARS requires. Choose whether your prices include VAT or have VAT added.
- Numbers and defaults: how numbers start (e.g. INV-0001), how many days until an invoice is due, and how long quotes are valid.
2. Create an invoice or quote
- Choose New invoice or New quote.
- Customer: start typing to pick someone from your customers, or type a new name. Add their email to send it by email.
- Items: add a line for each thing you charge for, or choose From your products and services. You can give a discount per line.
- Optional: a deposit due now, and notes for the customer.
- Save draft to finish later, or Preview PDF to see exactly what they'll get.
3. Send it
Choose Save and send…, then Send. Sending gives it its number and fixes its contents (a sent invoice can't be edited; cancel it and make a new one if something's wrong).
- With an email address, the customer gets an email with the PDF and a View and pay button.
- Send on WhatsApp or Copy link to share the private link yourself.
- You can see when they opened it.
4. When you’re paid
Open the invoice and choose Mark paid. It moves out of Owed to you. Made a mistake? Mark unpaid puts it back.
Invoices past their due date show as Overdue. On Pro, customers with an email get a friendly reminder the day after the due date, then weekly, at most three times.
Quotes
Your customer can accept or decline a quote online from its link, and you're told. When it's accepted (or agreed by phone), choose Turn into an invoice: the lines are copied, ready to send.
Plans
Free includes a number of invoices each month (shown at the top of the page). Pro has no limit and adds overdue reminders. See Plans and credits.
